R&O TMS Privacy Policy

R&O Logistics Services LLC (“R&O Logistics,” “we,” “us,” or “our”) respects the privacy and security of information processed through the R&O Transportation Management System (“R&O TMS”). This Privacy Policy explains how information is collected, used, stored, and disclosed when authorized users access the R&O TMS and its integrations, including QuickBooks Online.

1. Information We Collect

The R&O TMS may process information necessary to operate our transportation and logistics business, including:

• User names, business email addresses, phone numbers, and account information
• Customer and carrier business information
• Load, shipment, pickup, delivery, tracking, and operational information
• Rates, invoices, payments, expenses, and other accounting information
• Documents associated with transportation transactions, including bills of lading and proof-of-delivery documents
• Technical information necessary to maintain application security and functionality

2. QuickBooks Online Information

When an authorized administrator connects R&O TMS to QuickBooks Online, the application may access or synchronize accounting information necessary for enabled R&O TMS functions. This may include customer records, invoices, payments, vendors, expenses, accounts, and related accounting information.

R&O TMS uses QuickBooks information only to provide accounting and business-management functionality requested by R&O Logistics Services LLC.

R&O TMS does not collect or store a user's QuickBooks password. Authorization to QuickBooks Online is handled through Intuit's authorization process.

3. How We Use Information

Information processed by R&O TMS may be used to:

• Manage transportation loads and shipment operations
• Maintain customer and carrier records
• Generate and manage invoices
• Synchronize approved accounting information with QuickBooks Online
• Reconcile customer payments and accounting records
• Identify and prevent duplicate accounting transactions
• Track outstanding receivables and accounting status
• Maintain business records
• Provide authorized users with operational and financial reporting
• Protect the security and integrity of R&O TMS

QuickBooks Online information is not used for advertising or unrelated marketing purposes.

4. Information Sharing

R&O Logistics Services LLC does not sell or rent personal information or QuickBooks Online data.

Information may be disclosed only when reasonably necessary to:

• Operate or maintain R&O TMS and its authorized integrations
• Work with service providers that support our systems or business operations
• Comply with applicable laws, regulations, court orders, or lawful government requests
• Protect the rights, security, property, or integrity of R&O Logistics Services LLC, its customers, carriers, or users

Service providers receiving information are expected to use it only for the services they provide.

5. Access and Authorization

R&O TMS is intended for authorized business users. Access to financial information and QuickBooks integration functions may be restricted according to user roles and permissions.

Users should not share login credentials or allow unauthorized individuals to access the system.

6. Data Security

R&O Logistics Services LLC uses reasonable administrative, technical, and organizational safeguards designed to protect information against unauthorized access, disclosure, alteration, misuse, or destruction.

No electronic system can guarantee absolute security, but we work to limit access to information to authorized users and systems.

7. Data Retention

Information is retained only for as long as reasonably necessary for business operations, accounting, legal, regulatory, security, and recordkeeping purposes.

Some transportation and accounting records may be retained after a QuickBooks connection is disconnected when retention is required for legitimate business, accounting, contractual, or legal purposes.

8. QuickBooks Connection and Disconnection

An authorized administrator may disconnect the R&O TMS QuickBooks Online integration.

After a QuickBooks connection is revoked or disconnected, R&O TMS will no longer use the connection to obtain new QuickBooks Online information. Authorization credentials associated with the connection will be invalidated or removed as appropriate.

Business and accounting records previously created or synchronized may continue to be retained where necessary for legitimate business, accounting, or legal purposes.

9. Data Access and Deletion Requests

Authorized users may request information about data associated with them or request deletion of eligible personal information.

Some information may not be deleted when R&O Logistics Services LLC is required or permitted to retain it for accounting, legal, regulatory, security, contractual, or legitimate business purposes.

10. Third-Party Services

R&O TMS may integrate with third-party services, including QuickBooks Online. Information processed directly by those services is also governed by the privacy policies and terms of the applicable third-party provider.

11. Children's Privacy

R&O TMS is a business application and is not intended for use by children under the age of 13. We do not knowingly collect personal information from children through R&O TMS.

12. Changes to This Privacy Policy

R&O Logistics Services LLC may update this Privacy Policy when our systems, integrations, business practices, or legal obligations change. The updated effective date will be displayed at the top of this page.
